Smart Visits Consumer Privacy & Location Notice

Smart Visits is an optional app provided by Review Reply Plus Pty Ltd, the operator of Review Reply PLUS. It is intended for people aged 18 or over.

What Smart Visits does

With your permission, Smart Visits uses your phone's built-in geofencing, including in the background, to recognise when your phone arrives at, stays at and leaves a participating business. These events are called ENTER, DWELL and EXIT.

Smart Visits is not continuous GPS tracking. Your phone watches only the saved areas for participating businesses. We do not retain your GPS coordinates.

If a visit meets the participating business's rules, you may receive a neutral reminder inviting you to leave feedback or a review. Frequency and cooldown protections reduce repeat reminders. Every eligible visitor receives the same neutral opportunity; the app does not first ask whether you were happy or direct people differently based on sentiment.

What we collect

Smart Visits may collect:

  • an anonymous device registration and secret used to authenticate that device;
  • your consent, Smart Visits setting, Review Reminders setting and known notification-permission state;
  • saved participating-business areas;
  • ENTER, DWELL and EXIT events, linked to the anonymous device and business;
  • visit qualification, reminder status and notification-delivery records; and
  • a Firebase Cloud Messaging token when notifications are enabled.

You do not need to provide a name, email address or phone number to use Smart Visits.

Finding nearby participating businesses

The app sends approximate coordinates to find participating businesses near you. The coordinates are transmitted securely, rounded to approximately one kilometre in memory, used once for that lookup, and then discarded. They are not stored, logged or cached.

Notifications

Review reminders are delivered through Firebase Cloud Messaging, operated by Google. The system uses a notification token rather than your name or contact details.

You may turn Review Reminders off in the app or change notification permission in your phone settings. Smart Visits itself is not disabled merely because a dead notification token is removed. If the app later receives a valid replacement token, it may register that token while your settings remain enabled.

Partner clubs

If you choose to link Smart Visits with a participating partner or membership club, the partner provides a member reference and receives only high-level link status.

The partner does not receive your location, coordinates, ENTER/DWELL/EXIT events, anonymous device identifier, device secret or Firebase notification token from Review Reply PLUS.

No analytics on sensitive pages

Google Analytics does not load on Smart Visits, check-in or activation pages. Activation tokens, partner member references, anonymous device identifiers, coordinates and visit events are not sent to Google Analytics or another analytics service.

Retention

  • Nearby-business lookup coordinates are not retained.
  • Raw ENTER, DWELL and EXIT events are kept for 90 days.
  • Incomplete or expired visits are kept for 90 days and counted into anonymous monthly totals before deletion.
  • Completed visits may remain linked to the anonymous device for up to 12 months. After that, the device link is removed and the de-identified visit row or anonymous total may remain.
  • The anonymous device profile is kept while Smart Visits remains active, unless you use Delete My Data.
  • General partner records are kept for 12 months.
  • Partner security audit records are kept for 24 months and contain only hashed member references.
  • Anonymous monthly statistics for a participating business are kept until that business or its Review Reply PLUS account is deleted.

Your controls

You can:

  • switch Smart Visits off in the app;
  • switch Review Reminders off in the app;
  • change location or notification permissions in phone settings; or
  • use Delete My Data.

Turning Smart Visits off stops new visit detection and reminders but is not the same as deleting existing server records.

Delete My Data — Smart Visits v7

In the app, tap Privacy & Data → Delete my data → Delete.

When you confirm:

  1. Smart Visits turns off immediately. The app stops monitoring participating-business areas, stops creating or uploading visits, and stops registering for reminders or partner links.
  2. Local Smart Visits data is cleared immediately. If deletion has not yet been confirmed by the server, the app securely retains only the minimal anonymous deletion credential needed to authenticate and finish the deletion request.
  3. If the phone is online and the service is available, server deletion occurs immediately. We delete the anonymous device profile, notification token, saved business areas and raw ENTER/DWELL/EXIT records; cancel pending reminders; de-identify past visits so they are no longer linked to the device; and revoke any partner link.
  4. If the phone is offline or the service is unavailable, deletion remains Pending. The app retries automatically when connectivity returns, when the app restarts and after the device restarts.
  5. You can see the status. The app displays Pending while server deletion remains unfinished and Completed after confirmation.
  6. After confirmed deletion, the remaining deletion credential is permanently removed from the phone.

A partner is told only that its link was revoked. De-identified past visit information may remain only under the retention rules above and is not linked to you or your phone.

Submitting the same deletion request again is safe and does not recreate deleted data.

Uninstalling the app stops new collection but does not itself make a server deletion request. Use Delete My Data before uninstalling if you want information held by us deleted.

Storage and contact

The main database is hosted in the AWS Tokyo region in Japan. Google/Firebase and other service providers may process information on global infrastructure outside Australia.
